This policy explains how Petrano Supply Inc. handles personal information collected through petrano.ca, in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law.
1. Who we are
Petrano Supply Inc. ("Petrano", "we", "us") operates petrano.ca, a technical supplier and procurement partner based in Winnipeg, Manitoba. This policy applies to personal information collected through this website, which is intended for business and institutional users.
2. Privacy contact
Questions, access requests, correction requests, withdrawal of consent requests, and complaints may be sent to info@petrano.ca or to Petrano Supply Inc., 441-100 Innovation Drive, Winnipeg, Manitoba R3T 6A8, Canada. Petrano will route the request to the person responsible for privacy compliance.
3. Information we collect
We collect the information you provide through our contact and quote request form and related communications: your name, organization, business contact details, email address, telephone number, and the details of your enquiry, including products, part and model numbers, quantities, delivery information, tender or solicitation references, required certifications, attachments and technical documents you choose to send, and your communications history with us.
Our hosting and form providers may log limited technical data such as IP address, approximate location derived from IP, device and browser type, server and security logs, form timestamps, and spam-prevention signals. This website does not use advertising or tracking cookies.
When you send the contact form, it also sends how you told us you found Petrano, the page you viewed just before the contact page, the first page you opened on this website during the visit, and the address of the website that referred you, if your browser shares it. Until you send the form, these details stay in your browser’s session storage, which is cleared when you close the tab.
4. How we use your information
Petrano uses personal information to respond to enquiries, prepare quotations, source products, communicate with buyers and suppliers, coordinate logistics and after-sales support, assess compliance requirements, screen for sanctions and restricted parties, prevent fraud, administer accounts, maintain business records, handle disputes, ensure security, and meet legal, tax, customs, export, sanctions, procurement, contractual, and insurance obligations.
5. Consent
By submitting a contact or quote request form, you consent to our use of the information you provide to respond to and manage that enquiry. Petrano will not add a person to promotional mailing lists unless consent exists or another legal basis applies. Promotional electronic messages will include identification and an unsubscribe option where required. You may withdraw consent at any time by contacting us, subject to legal or contractual restrictions.
6. Disclosure
We do not sell your personal information. We may share it, only as needed and under appropriate confidentiality obligations, with: suppliers, manufacturers, and distributors to prepare quotations and fulfil orders; logistics providers and customs brokers; payment providers; professional advisors; IT, email, and hosting providers; insurers; public-sector buyers where needed for procurement documents; and government authorities where required by law.
7. Information received from institutional customers
When a university, public body or other institution shares personal information with Petrano to fulfil its orders, Petrano:
uses it only to fulfil that customer’s orders, and never to cross market; restricts access to staff who need it; returns or destroys it at the end of the work or on request; reports any suspected breach to the customer without delay; and assists the customer in complying with the Freedom of Information and Protection of Privacy Act and the Municipal Freedom of Information and Protection of Privacy Act.
8. Customer portal
Petrano offers an invitation-only customer portal at portal.petrano.ca where customers can review, accept, or decline quotations, track orders and shipments, and open service requests. Access is by invitation only; there is no self-registration.
For each invited user, the portal processes the user’s name, work email, organization, approval role, their organization’s quotation, order, shipment, and service-request records, and sign-in and activity logs kept for security and audit purposes. No passwords are stored: sign-in uses one-time links sent by email. Each account can access only its own organization’s records.
Consent is obtained at the time of invitation; a user may ask for their account to be closed at any time by writing to customercare@petrano.ca. Portal data is hosted by our service provider Supabase on servers located in the United States; the section “Service providers and storage outside Canada” applies. The retention and breach-response rules described in this policy also apply to the portal.
9. Service providers and storage outside Canada
Petrano may use service providers for website hosting and analytics, form processing, email, communications, document storage, accounting, logistics, payment, security, and professional support. Some providers may process or store information outside Canada, including in the United States or other jurisdictions where they operate. Information processed outside Canada may be accessible to courts, law enforcement, or national security authorities under the laws of those jurisdictions. Petrano remains responsible for personal information under its control.
10. Retention
We keep personal information only as long as necessary for the purposes described, or as required by law. Enquiry and quote records may be kept while the enquiry is active and for a reasonable period afterward for account, audit, warranty, tax, insurance, contractual, and dispute purposes. Records required for legal, tax, customs, export, sanctions, and procurement compliance may be kept longer. Information is securely deleted when no longer required.
11. Safeguards
We use reasonable administrative, technical, and organizational safeguards, including access limitation, staff access controls, service-provider controls, encrypted transmission where available, and breach assessment. No method of transmission or storage is completely secure.
12. Breach response
If Petrano becomes aware of a privacy breach, Petrano will assess the incident, take reasonable containment steps, keep required records, and provide notices to individuals, regulators, or other organizations where required by law.
13. Your rights
You may request access to the personal information we hold about you, ask us to correct it, withdraw consent, or make a complaint. We may ask for information to verify your identity or authority before responding, and we will respond within a reasonable time. If a concern is unresolved, you may contact the Office of the Privacy Commissioner of Canada or the applicable provincial authority.
14. Cookies and analytics
This website does not use tracking, advertising, or analytics cookies. We use Cloudflare Web Analytics to count visits and see which pages are used, as aggregate statistics. According to Cloudflare, this service does not use cookies or local storage and does not fingerprint visitors through their IP address or browser. We use these statistics only to improve the website. If pixels, chat tools, embedded maps or video players, or remarketing tools are added in the future, we will update this policy and any cookie notice before launch and use privacy-respecting tools.
15. Quebec
If you are in Quebec, you may exercise your rights of access, correction, and withdrawal of consent, and make a complaint, in French. Requests may be sent to the privacy contact above, who also serves as the person responsible for the protection of personal information.
16. Children
This website is intended for business and institutional buyers and is not directed to children.
17. Changes to this policy
We may update this policy from time to time. The date above shows the last revision.
